The University is implementing a new ERP. As part of the multi year project, the change management team needed a website to provide transparency information about the status of the project.
Change Management is charges with identifying, evaluating, and planning what process would be implement in the new ERP. A broad and deserve user base of the new ERP was eager for information about how the project would effect their day to day positions.

Communicate project updates to users. Solicit involvement from users where appropriate in planning, evaluating, testing various aspects of the project.
Extensive research was performed to understand the end users consisting of nearly all of the employees and many of the students. Users personas were developed to aid in understanding the needs and pain points the users.
We knew a website would be required but we also tested delivering updates through emails, newsletters, and flyers. We learned that focusing our efforts on a web site would be most effective use of our resources in communicating to the users.
The website was developed using BrightSpot as it had been widely adopted by the University. Security and permissioning we set up to allow access to various users and to customize content to their needs.
Users were concerned with how their existing jobs would be effected. A portal was developed using APIs to populate the status of ASPs (Application Service Providers). This portal provided information on the status of each ASP.
