Human Resources needed a web application for submitting, evaluating, and approving contracts with Independent Contractor for various projects across campus. We needed to prepare this project for development before the development team finished their current project.
This manual process involves several departments across campus. Many of the processes had no documentation.

Expedite the time needed to approve an Independent Contractor. Provide a workflow interface for each area to track progress. Reduce the workload of those involved by automating as much of the process as possible.
Our first challenge was understand the scope of the project. We needed to understand the existing process. We held several meeting with stakeholders to uncover what departments, and who in those departments understood the process.
We created two documents to help map out all the processes. In Lucidchart we created a detailed Process Map. A Process Document was created to provide high-level details of each step in the Process Map. We spent several rounds of meetings reviewing ways to improve the User Experience for the various user groups, identifying what technology solutions needed be in incorporated, and refined the scope of the project.
Using an existing branding guide, I was able to quickly mock key elements on over 50 pages to capture the use experience.
Stakeholders from each area were brought in to review the processes and provide input and feedback. This was an invaluable experience. Stakeholders were able to see the entire process from being to end and all the variations of content. Notes, feedback, changes and ideas all made on the whiteboards and printouts.
The UX Review successfully communicated to all stakeholders the processes, user experience. They happily approved our prototype with a few minor changes to text and other elements to some pages.
